Questions and answers

How to sign up for an event, what to do with the ticket, how to run your own, how to check guests in at the door and how to write to people.

For guests

Everything you need to get to an event.

Do I need an account to sign up?

No. Open the event page, press «Sign up» and leave a name and an email address. There is no password to invent and no app to install. If you do sign in with Google, the fields fill themselves in at every event after that.

What arrives after I sign up?

A letter with the ticket: a link to it, a short code and a QR code. That is all the door needs. The ticket also opens straight from the event page while you are looking at it.

I lost the ticket email. What now?

Sign up for the event again with the same address. An existing registration is not duplicated, and the ticket goes to that address a second time. The service will not show somebody else a ticket just because they typed the address: that is the protection for the case where your address is known to other people.

How do I cancel?

Open the ticket and press «I cannot come». You can cancel right up until you are checked in at the door. The seat you free goes immediately to whoever is first on the waiting list.

It says there are no seats left. What does that mean?

The organizer capped the capacity. If they switched on the waiting list you can take a place in the queue: when somebody cancels, the seat passes to the first in line automatically and a letter goes out. With no waiting list, registration is simply closed.

Why is my registration «under review»?

At some events the organizer confirms every guest by hand. Until they answer, no ticket is issued. Once they approve the registration, the ticket arrives by email.

Where is the address of the event?

Usually right on the page. But an organizer can switch on «address for guests only»: then the place is hidden entirely until you have a seat, and the address arrives with the ticket email and shows on the ticket page. This is what people do for house concerts and closed gatherings.

And if the event is online?

The meeting link is shown only to the people holding a seat. It is not on the public page and it does not reach search engines. It comes with the ticket email and opens from the ticket page.

The event was canceled. Will I be told?

Yes. The cancellation goes to everyone who held a seat, including people who unsubscribed from mailings: a canceled evening somebody was planning to attend is not a mailing.

Can I hand my ticket to somebody else?

Technically the ticket opens for anyone with the link, but it is a bad idea: at the door they will be checked in under the name given at sign-up, and the guest list will hold the wrong person. It is better for the guest to sign up themselves.

For organizers

How to create an event and what you can set up.

What does it cost to run an event?

Nothing. This is a community venue, not a subscription service: there is nothing to pay per event and nothing to pay per guest.

How do I create an event?

Sign in with Google and press «Create event». The form is on the left and the page guests will see is on the right, changing as you fill it in, so there is nothing to guess at. A title, a date and a start time are required, and an offline event also needs a place or an address.

Can I change the address of the event page?

Yes. By default the address is a short run of characters, and you can replace it with your own in Latin letters. If the address is taken by another event, the service says so rather than quietly substituting another one. Service addresses like /login or /pay cannot be taken.

Can I edit an event after publishing it?

Yes, at any time. Questions guests have already answered are not deleted: removing one from the form switches it off, and the answers already collected stay visible in the guests’ cards.

How do I limit the number of seats?

Set a capacity. When the seats run out, registration either closes or moves to the waiting list, if you switched one on. A waiting list without a capacity means nothing, and will not switch on.

How do I approve guests by hand?

Switch on approvals. Registrations then come to you for review, and the ticket goes to the guest only after your yes. A declined request frees the seat, and the queue moves on.

What is the difference between an unlisted and a public event?

A public one stands in the shared calendar: on the front page, in its category and in the sitemap for search engines. An unlisted one disappears from all of that and opens only by your direct link. The choice is made when the event is created, and afterwards under «Registration». It is not secrecy: anyone the link is forwarded to can open the page.

What can I ask guests?

Name and email are always asked, and the phone number is optional. Beyond that you can add your own questions: short and long text, a choice from a list, a checkbox, an agreement to terms. Asking about health, religion and the like is not allowed.

How do I cancel an event?

The event back office has a cancellation, with a reason. Everybody holding a seat gets a letter carrying that reason, and the page says so. A cancellation can be undone, but no second letter goes out when it is.

What do people see when I send the link into a chat?

A card with the title, the date and the place. It is built automatically from the event, and there is nothing to prepare.

At the door

What happens in the doorway once guests arrive.

What do I scan QR codes with?

A phone or a laptop: open the event and press «Check-in». The scanner runs in the browser, with no app to install and no terminal to buy. It needs permission to use the camera.

A guest cannot open their ticket. How do I check them in?

Type the code from the ticket by hand in the field next to the scanner, or find the guest by name in the guest list and check them in from there.

Somebody turned up without registering. What now?

The check-in screen carries the event’s own QR code: show it to the guest, they open the page and sign up themselves in half a minute. If there are no seats left, the registration will not go through.

What happens if one ticket is scanned twice?

The service says the guest is already checked in, and names the time of the first check-in. Nothing is recorded twice. The same code left in front of the camera is not read again for a few seconds, so the queue keeps moving.

Can the check-in go on a big screen?

Yes, there is a full-screen mode: the event title in large type, a count of who has arrived, and two QR codes side by side - one for people who have not registered, and the camera for those who already hold a ticket. The sound and the invitation can be switched off.

Will a ticket from another event work?

No. The service checks which event the code belongs to and refuses.

People and letters

What happens to contacts, and how to write to people.

Who owns the guests’ contacts?

The community. Everyone who has registered for an event is collected in a shared list of people, with the history of what they came to. An organizer sees the people who came to their own events; the whole base is open to the community’s administrators.

Can I export the list?

Yes, to CSV in one press. What is exported is everything matching the current search, not only the page you happen to be looking at.

How do I write to the people who signed up?

Every event has a letters section. You can pick the audience: going, waiting in the queue, awaiting approval, already arrived, or no-shows. An administrator can write to the whole community base.

Is there a limit on letters?

Yes, so that a stray mailing does not turn into spam: 50 addresses a day and 500 a month per organizer. Addresses are counted, not letters. Administrators are not limited, and the service letters about an event do not count.

What happens to people who unsubscribed?

Mailings never go to them, whichever audience is chosen. Service letters about events they are registered for still arrive: without a ticket they cannot get in.

How do I unsubscribe from mailings?

Every mailing carries an «Unsubscribe» link. It takes effect immediately.

Account and data

Signing in, your profile, and who sees what.

Why is Google the only way in?

So that no passwords are invented or stored. The service receives an email address, a name and a profile picture from Google, and the name and picture are filled in only if you have not set your own.

What is the public organizer page?

Your page at /u/name, with something about you, your links and your events. The address is chosen in your profile settings and is optional: without one, there is simply no page.

Who sees my phone number and my answers?

The organizer of the event you signed up for, and the community’s administrators. The public event page shows only the first names of the people going - no addresses and no phone numbers.

How long do I stay signed in?

60 days from signing in, after which you sign in again. The sign-out button ends the session at once.

How do I delete my data?

Ask the organizer of the event you registered for, or the operator of the service. What is kept, why, and for how long is described in detail in the terms.

Did not find the answer?

The terms of use, and what happens to data, are written out separately and in detail.
